Electronic claim validation

As part of preventing clearinghouse rejections of your claims, we have recently started providing automatic validation reports created by the Kareo electronic claim processing system.

Instead of waiting a day or more for the clearinghouse to reject your claims, our system will typically get back to you within an hour.

We create validation error reports for:

  • Missing street address, city, or state information
  • Invalid zip codes (not in Zip or Zip+4 formats)
  • Invalid state abbreviations in addresses
  • Invalid Tax IDs
  • Missing insurance policy numbers
  • Missing subscriber first name
  • Missing insurance plan name
  • Missing provider numbers for Medicare, Medicaid or BC/BS
  • Invalid UPINs
  • Invalid dates of birth (missing, not a valid date, or in the future)

We frequently add validation reports for other common errors as well.  We hope that with these reports you will have a faster turn-around time on your claims.

Referring Provider Number submission change

Yesterday we changed the way referring provider numbers are submitted in electronic claims sent to clearinghouses. Previously, the system would always send the UPIN unless users overrode this in the Edit Claim > Other tab. The new behavior uses the Provider Number mechanism: for example, if a referring provider has the Medicaid provider number (1D) set in the Provider Numbers tab of the Edit Referring Provider screen, then that number will be sent to Medicaid payers.

In order to minimize rejections, please ensure that for your referring providers only UPINs are marked with "1G    Provider UPIN".

System maintenance

On Saturday, March 20th, 2006, the Kareo system will be down for a short amount of time as we perform routine system maintenance. We plan to carry this out between 7PM PDT (10PM EDT) and 9PM PDT (midnight EDT).

Business Manager and Server updates

Last night we released an updated version of Business Manager.  This update includes better handling of reversals sent by payers via ERAs. The version of the application is 1.37.2323.31238.

We also updated our servers to accomodate some new payment functionality. From now on, if a payment record is edited and either the payment or the adjustment amount for a settled claim is changed, then the claim will have its END transaction removed.  This means that the claim will be "un-settled".  This applies to both manual payment posting and automatic posting of ERAs.
